Why mileage tracking falls apart
- You forget to turn the app on, and that day's driving is gone.
- You leave it on, and it drains your phone battery.
- It records every drive, so you spend hours later sorting business trips from personal ones.
- Receipts end up in the glovebox, the wallet or a shoebox until year-end.
- Setting up a new system yourself is an afternoon you don't have.
How Smart Tracker works
Nothing runs in the background on your phone. Smart Tracker logs the appointments already on your calendar and whatever you send it in a text or a photo. Miles are calculated from the addresses with Google Maps. Every trip and receipt is written to a Google Sheet in your own Google account, so the records are yours to keep and share with whoever does your taxes.
What it does
- Calendar auto-log
- Each evening, appointments on your Google Calendar that have a street address or one of your saved places are logged as trips. Virtual meetings are flagged instead of logged.
- Telegram quick-log
- For a trip that isn't on your calendar, text the address and what it was for. Text "home" when you're done and the trip is totaled.
- Receipt photos
- Send a photo of a receipt. AI reads the amount, vendor and date and suggests a category. A receipt you already sent is skipped, and if the date looks wrong it asks instead of guessing.
- Saved places
- Give your regular stops a short name, like "office" or "bank", and use the name instead of typing the full address.
- Open-trip reminders
- If you start a trip and forget to close it, a reminder comes to Telegram in the morning and evening.
- Mileage and receipts in one place
- Trips and receipts go into the same Google Sheet, on separate tabs, so a year of business driving and spending sits in one system.
- Year-end summary
- In late December, your mileage and expenses for the year are emailed to you as spreadsheet files, ready to hand to whoever does your taxes.
- A Google Sheet you own
- Your mileage log and expenses live in your own Google account, not in someone else's app.
- Done for you
- We create and connect your accounts with you on a call, install the system, test it, and hand it off. You enter your own card for each service; we never hold your payment details.
Why it's worth it
- No app to remember. No phone running hot all day.
- Your calendar covers most trips and a quick text covers the rest. There's no app to start and stop every time you drive.
- Mileage and receipts stay together.
- Text a receipt photo and it's read, given a suggested category and added to your expense sheet. Your mileage and expenses live in one system instead of scattered across apps, photos and paper.
- Your year-end records are already organized.
- At year-end, your mileage and expenses come to you as spreadsheet files you can hand to your tax professional, instead of rebuilding months of activity from memory.
- You own the records.
- Your data lives in your own Google account. Your history doesn't depend on a mileage app keeping your account or keeping the same plan.
- No new software to learn.
- We set it up with you. After that, you use your calendar, Telegram and Google Sheets instead of learning a complicated new app.
Smart Tracker isn't the cheapest mileage tracker. It's built for business owners who want mileage, receipts, reminders and year-end records handled in one system they own.
Pricing
$999 one-time setup. Includes creating and connecting your accounts, installing the system and testing it with you.
Optional care plan: $99/month. Month-to-month, cancel anytime. On the care plan, we restore your system to its original approved working state if something stops working. Without the care plan, each issue is a $499 diagnostic plus $100/hour for the repair.
You pay the services the tracker runs on (such as the automation platform, Google Maps and the AI that reads receipts) directly. Your exact cost depends on how much you use them.
I used the popular mileage apps that run in the background. They drained my battery, and my iPhone stayed hot from charging all day just to keep them running. If I forgot to turn one on, that day's miles were gone, and I was back to typing trips in by hand. So I built Smart Tracker to log my appointments and calculate the miles for me, with nothing running in the background.

Common questions
Does it track my phone's location?
No. Nothing runs in the background. It logs the appointments on your calendar and the trips and receipts you send it.
I'm not good with technology. Can I use this?
If you can add an appointment to your calendar and send a text or a photo, you can use it. We do the setup with you on a call, so you don't configure anything yourself.
What if a trip isn't on my calendar?
Text the address and what the trip was for to your Telegram bot, then text "home" when you're done.
Will personal appointments get logged?
It logs appointments with an address on the calendar you choose during setup. You can point it at a calendar you use for work appointments only, and you can edit or delete any row in your Google Sheet.
Is this tax advice?
No. Smart Tracker keeps your mileage and expense records organized. Talk with your tax professional about what you can deduct.
Do I have to pay monthly?
Not to us. The $99/month care plan is optional and month-to-month. You do pay the services the tracker runs on directly, and that cost depends on your usage.
What happens if it stops working?
On the care plan, we restore your system to its original approved working state. Without the care plan, each issue is a $499 diagnostic plus $100/hour for the repair. Restoring doesn't include new features or changes to how the system works. If someone outside Milestone AI modifies or repairs the system and that causes or contributes to the problem, restoring it becomes separate diagnostic and repair work.
